1. Agreement to these Terms
These Terms and Conditions ("Terms") form a binding agreement between you and the operator of AutoServiceHistory ("we", "us", "our"). By creating an account, signing in, or otherwise using the AutoServiceHistory web application or any related services (together, the "Service"), you confirm that you have read these Terms and agree to be bound by them.
If you do not agree, please do not use the Service. If you are agreeing on behalf of a business or organisation, you confirm that you have authority to do so and that the organisation is bound by these Terms.
These Terms should be read together with our Privacy Policy, which explains how we handle your personal data.
2. Definitions
- "Account" means a registered user account on the Service, whether personal (B2C) or business (B2B).
- "Content" means any data, photographs, documents, or other material you upload, generate, or otherwise submit to the Service.
- "Free Plan" means the no-cost subscription tier available to both personal and business accounts.
- "Paid Plan" means any subscription tier with recurring or one-off charges, including credit-pack purchases.
- "Public Share Link" means a URL we generate on your request that lets anyone view selected information about a vehicle without needing an Account.
- "Vehicle Owner" means the person or organisation who is the legal registered keeper of a vehicle, as recognised by the relevant authority (in the UK, the DVLA).
- "User", "you" means the natural person using the Service.
3. The Service
AutoServiceHistory is a digital record-keeping service for vehicles. The Service allows you to:
- Add vehicles you own by registration number and view their public-record history (MOT and DVLA data).
- Upload photographs, paperwork, and service records to build a digital service history.
- Automatically process those documents through our AI-powered OCR and PII-blurring pipeline (see clause 9).
- Generate Public Share Links to share vehicle records with prospective buyers, mechanics, insurers, or other authorised recipients.
- Use AI features powered by our credit-based allowances, including document review, AI chat, and AI Connections via the Model Context Protocol (MCP).
- Store private Secure Documents (paid plans only) — see clause 10.
- On business plans, invite team members and operate a shared inventory of vehicles.
Pricing, feature breakdowns, and plan caps are set out on our Plans page. We may update plan features and pricing from time to time on notice (see clause 17).
4. Account eligibility
To use the Service you must:
- Be at least 18 years old. If you are under 18, please ask a parent or guardian to register on your behalf.
- Provide accurate and complete information when registering and keep it up to date in your Account settings.
- Keep your password confidential. You are responsible for activity that takes place under your Account.
- Use the Service in accordance with these Terms and applicable law.
5. Acceptable Use
5.1 Prohibited activities
You must not:
- Misrepresent ownership of any vehicle on the Service, or otherwise enter information about a vehicle you have no right to record.
- Share your Account credentials with anyone else. Each person using the Service must have their own Account; if you need multiple people to share a vehicle inventory, please use a Business plan.
- Scrape, crawl, mass-download, or otherwise programmatically extract data from the Service beyond the sanctioned MCP integration (clause 11).
- Resell, sublicense, white-label, or re-skin the Service, or any part of it, without our prior written consent.
- Use the Service to upload content that is unlawful, defamatory, obscene, infringing of third-party rights, or designed to deceive other users.
- Attempt to disrupt or circumvent the Service's security measures, rate limits, or paywalls.
5.2 Upload warranty
By uploading any Content to AutoServiceHistory, you represent and warrant that:
- You are the Vehicle Owner of the vehicle to which the Content relates, or you have the express permission of the Vehicle Owner to upload that Content;
- You have the right to upload the Content and to grant us the licence described in clause 13;
- The Content does not infringe any third party's intellectual-property, privacy, or publicity rights; and
- The Content does not contain confidential information of any third party that is not directly relevant to the vehicle's service history.
5.3 Enforcement
We may, in our reasonable discretion, suspend or terminate an Account that we believe is in breach of this clause 5 (see clause 14). Where the breach is corrected promptly, we will normally restore access; for serious or repeated breaches we may terminate the Account permanently.
6. Subscriptions and payment
- Paid Plans are billed monthly or annually, in advance, via our payments partner Stripe.
- Card details are captured by Stripe directly. We never see, receive, or store your full card number.
- Plan upgrades take effect immediately, with pro-rata invoicing for the remainder of the current billing period.
- Plan downgrades take effect at the start of the next billing period.
- Failed payments trigger a 'past due' grace period of approximately seven days during which we will retry the charge and notify you. Persistent non-payment will result in downgrade to the Free Plan and possible loss of access to paid features.
- Credit-pack purchases are one-off and non-recurring. Purchased top-up credits do not expire.
7. Cancellation
You can cancel a Paid Plan subscription at any time from your Account settings or via the Stripe customer portal. Your cancellation takes effect at the end of the current billing period — you retain access to paid features until then. You can resume the subscription before the period ends if you change your mind.
We do not charge an early-cancellation fee. We do not pro-rate refunds for partial periods (subject to your statutory rights — see clause 8).
8. Refunds and consumer rights
8.1 Personal (B2C) Accounts — UK and EU/EEA
If you are a consumer resident in the United Kingdom, the European Union, or the European Economic Area, you have a 14-day cooling-off period from the date of purchase during which you can cancel a Paid Plan or credit-pack purchase and receive a full refund. This right is given by the UK Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 and equivalent EU consumer-protection law.
Important — how cooling-off interacts with digital services: under the UK Consumer Contracts Regulations, the right to cancel a digital service can be lost once you actively start using it (for example, by consuming credits, generating a Public Share Link, or downloading processed documents). If you wish to preserve your full 14-day cooling-off right, please refrain from using paid features until the 14 days are up. If you have any doubt or want a refund within the cooling-off window, please contact us at support@autoservicehistory.co.uk and we will deal with the request fairly under the Regulations.
8.2 Business (B2B) Accounts
Business Accounts (organisations, sole traders acting in a business capacity) have no general right to a refund beyond the statutory minimum applicable to their jurisdiction. Subscriptions and credit packs are non-refundable.
8.3 Credits and top-up packs
Subject to the rights set out above, credit purchases (one-off top-up packs and inventory increases) are non-refundable. Unused monthly credits do not roll over and have no cash value. Purchased top-up credits never expire.
8.4 Promotional and gifted plans
Promotional or gifted subscriptions are provided at our discretion, have no cash value, are non-transferable, and are not eligible for any refund. We may revoke promotional plans at any time.
9. Vehicle data accuracy
MOT history, DVLA records, and other public-record vehicle information shown in the Service are sourced from UK government APIs. We refresh this information on every lookup but we do not warrant its accuracy or completeness. Some older or recently-issued vehicles may have incomplete records; some vehicles imported into the UK may have no records at all.
If you are making a contractual decision based on a vehicle's history (for example, buying a used vehicle), please verify the information directly with the relevant authority before relying on it.
11. Secure Documents
Paid-plan Accounts may upload private documents (V5C, finance agreements, tax records, MOT certificates containing personal information) to the Secure Documents area. Secure Documents are subject to the strict isolation guarantees set out in our Privacy Policy:
- Visible only to you (and, for business Accounts, to organisation members with write access).
- Never included in any Public Share Link.
- Not used for analytics, training data, or any pipeline beyond what you explicitly request — if you enable OCR on a Secure Document upload, the file is processed by our OCR sub-processors (Google Gemini and AWS Textract) for text extraction, and the resulting OCR data is stored privately to you.
- Hard-deleted immediately on account deletion, vehicle deletion, vehicle transfer, or vehicle disassociation — with no 30-day grace period.
12. AI Connections (MCP)
AutoServiceHistory supports user-initiated integrations with third-party AI assistants (currently Anthropic Claude and OpenAI ChatGPT) via the Model Context Protocol (MCP). To enable an integration, you authorise it via an OAuth handshake from inside the AI assistant's interface.
- After authorisation, the AI assistant can call read-only tools on your data using the credentials it received. Each call costs one MCP credit from your monthly allowance.
- Once data leaves the Service to the AI provider, the AI provider's own terms of service govern its use of that data. We are not party to that processing.
- You can revoke any AI Connection from your Account settings at any time. Revocation takes effect immediately.
13. Intellectual property
13.1 Your content
You retain all ownership of the Content you upload (photographs, documents, secure documents, profile information). Uploading Content does not transfer ownership to us.
13.2 Licence to us
You grant us a limited, royalty-free, non-exclusive licence to host, store, process, and where applicable display the Content for the purpose of operating the Service for you. This licence is the minimum necessary to provide the Service and ends when you delete your Content or your Account.
13.3 Our platform
We own all rights in the AutoServiceHistory platform, software, branding, design, and proprietary data structures. Nothing in these Terms gives you a right to use our branding without prior written consent.
14. Termination
14.1 By you
You can cancel your subscription at any time (clause 7) and delete your Account at any time from your Account settings.
14.2 By us
We may suspend or terminate your Account, with reasonable notice where possible:
- For persistent non-payment of fees;
- For breach of these Terms (in particular clause 5 — Acceptable Use);
- Where we have reasonable suspicion of fraud or other illegal activity; or
- If we decide to discontinue the Service, in which case we will give at least 30 days' notice.
14.3 Effect of termination
On termination, your data is handled in accordance with our Privacy Policy: a 30-day grace period for regular account data, then irreversible deletion; immediate hard-delete for Secure Documents; and 6-year retention of billing records to meet HMRC requirements.
15. Liability
15.1 Cap
To the maximum extent permitted by law, our total liability to you in any twelve-month period — arising under or in connection with these Terms or the Service, whether in contract, tort, breach of statutory duty, or otherwise — is limited to the total fees you paid to us in the twelve months immediately preceding the event giving rise to the liability.
15.2 Excluded losses
We are not liable for indirect, consequential, special, or exemplary damages, including lost profits, lost revenue, lost data, or loss of business opportunity.
15.3 Statutory exceptions
Nothing in these Terms limits or excludes our liability for:
- Death or personal injury caused by our negligence;
- Fraud or fraudulent misrepresentation; or
- Any other liability that cannot be excluded or limited under UK or EU consumer-protection law.
16. Governing law and jurisdiction
- These Terms are governed by the laws of England and Wales.
- Disputes will be heard in the courts of England and Wales.
- If you are a consumer resident in the EU/EEA, you retain the protections of the consumer-protection law of your home jurisdiction, including the right to bring proceedings before your local courts.
EU/EEA consumers may also use the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
17. Changes to these Terms
We may update these Terms from time to time. If we make material changes, we will notify you by email at the address associated with your Account at least 30 days before the changes take effect. Continued use of the Service after the notice period counts as acceptance of the updated Terms.
18. General
- Severability. If any provision of these Terms is held to be unenforceable, the remaining provisions remain in full effect.
- No waiver. Our failure to enforce any provision is not a waiver of our right to do so later.
- Assignment. You may not assign these Terms without our written consent. We may assign them, in whole or in part, in connection with a corporate transaction (e.g. a sale or merger).
- Entire agreement. These Terms (together with the Privacy Policy and any product-specific terms presented at point of sale) form the entire agreement between you and us in relation to the Service.
